The Manager of Business Systems leads the strategy, support, optimization, implementation, and ongoing management of enterprise business systems across the organization and its clients. The role provides leadership for a broad portfolio of business applications, including but not limited to HRIS, payroll, finance/accounting, CRM, scheduling, workflow, document management, dining, customer service, reporting, and other vendor-provided platforms outside of core IT infrastructure.
The Manager of Business Systems serves as both a people leader and senior business systems resource. This position is responsible for ensuring the team delivers timely, high-quality support and project outcomes while establishing consistent processes, standards, documentation, vendor relationships, and system governance. The Manager partners with executive leadership, Project Managers, technical teams, vendors, and business stakeholders to ensure systems effectively support organizational goals and operational needs.
Position Mission
The Manager of Business Systems oversees the full scope of Business Systems activities, including team leadership, ticket and escalation management, requirements analysis, system implementations, integrations, optimization, process improvement, vendor evaluation and management, system governance, documentation, training, reporting, and client or stakeholder communications. The Manager is responsible for balancing day-to-day operational support with strategic system improvements and projects.
Responsibilities
- Leads and manages the Business Systems team, including workload planning, coaching, performance management, professional development, and accountability.
- Oversees enterprise business systems across multiple functional areas spanning HRIS, payroll, finance, CRM, scheduling, workflow, dining, document management, and reporting.
- Establishes priorities, standards, workflows, and service expectations for business system support and project delivery.
- Provides escalation support for complex business system issues while supporting a portfolio of clients directly.
- Partners with leadership and stakeholders to identify system needs, evaluate solutions, prioritize initiatives, and align technology investments with business objectives.
- Manages vendor relationships and participates in software selection, contract reviews, performance discussions, and issue escalation.
- Develops and maintains system documentation, knowledge resources, processes, and governance standards.
- Serve as a senior point of contact for business systems matters and maintain clear, professional communication with leadership, clients, employees, vendors, and cross-functional teams.
- Operates in a fully remote work environment, with occasional travel as business needs require.
Requirements
- Bachelor's degree in Information Technology, Business Administration, Computer Science, Information Systems, or a related field preferred.
- Equivalent combination of relevant education, management experience, and demonstrated business systems expertise will be considered.
- Relevant certifications in business analysis, project management, IT, systems administration, or leadership are a plus.
- Demonstrated experience supporting, administering, implementing, or optimizing enterprise business systems across multiple functional areas.
- Progressive experience in business systems, business analysis, application management, technology operations, or a related discipline.
- Prior experience directly managing or supervising employees, including performance management, coaching, workload planning, and employee development.
- Experience managing software vendors, system implementations, upgrades, integrations, or technology projects.
- Experience translating business requirements into system solutions and process improvements.
- Experience working in a client-facing, managed services, consulting, or multi-stakeholder technology environment preferred.
Additional Preferred Requirements
- Experience managing a diverse enterprise application portfolio across multiple business functions.
- Experience with SaaS application administration, integrations, APIs, data reporting, or business intelligence tools.
- Experience with formal IT service management, business analysis, project management, or change management methodologies.
- Experience with vendor selection, contract management, software licensing, or technology budgeting.
- CBAP, PMP, ITIL, or comparable certification is a plus.
- Experience in a managed services provider (MSP), consulting, or technology services environment strongly preferred.
Position Expectations
Within the first 30 days:
- Complete required onboarding and review company policies, procedures, culture, and relevant departmental standards.
- Develop an understanding of the organization's business systems portfolio, current support model, active projects, vendors, and team responsibilities.
- Meet individually with Business Systems team members and key cross-functional stakeholders to understand priorities, challenges, and opportunities.
- Begin participating in ticket escalations, project discussions, vendor interactions, and team management activities.
- Demonstrate strong communication, organization, leadership presence, and customer-service orientation in all interactions.
Within the first 60 days:
- Independently manage team workload, priorities, escalations, and routine operational decisions.
- Establish consistent one-on-ones, team communication, workload visibility, and performance expectations.
- Identify key process, documentation, staffing, system, or vendor improvement opportunities.
- Demonstrate effective collaboration with Project Managers, technical teams, vendors, and business stakeholders.
- Begin implementing measurable improvements to Business Systems processes or service delivery.
Within the first 90 days:
- Demonstrate effective leadership and accountability for the Business Systems team and its day-to-day operations.
- Maintain clear visibility into team workload, ticket trends, project status, vendor issues, and system priorities.
- Present a prioritized Business Systems improvement roadmap addressing people, processes, systems, vendors, and documentation.
- Demonstrate consistent, proactive communication with leadership and stakeholders regarding risks, priorities, and recommendations.
- Receive positive feedback from team members and stakeholders regarding leadership, communication, responsiveness, and technical/business judgment.
Position Metrics:
The following metrics define ongoing performance expectations for this role:
- Business Systems tickets and escalations managed within established service-level expectations, with trends reviewed regularly.
- Project deliverables and assigned Business Systems work completed within established timelines, with proactive communication regarding risks or delays.
- Team one-on-ones, performance reviews, development activities, and required management responsibilities completed consistently.
- Business system documentation and knowledge resources maintained at an effective and usable standard.
- Vendor issues and escalations actively managed through resolution or an agreed-upon action plan.
- Positive stakeholder and employee feedback regarding professionalism, communication, leadership, responsiveness, and quality of solutions.
- Demonstrable progress on process improvement, automation, system optimization, and strategic Business Systems initiatives.
